As a Client How will I use and store your data?

Your privacy is of utmost importance.

In line with European General Data Protection Regulations, I am obliged to share the following information regarding how your data is protected:

What information do I hold?
As a Music Therapist and supervisor in private practice I collect the following information: clients names, address, phone number, email address, date of birth and contacts in case of emergency. I also hold notes from the sessions.

Sessions on zoom are never recorded and clients agree never to record.

What I do with your information?
The personal information you give me is stored securely. Names, email addresses and phone numbers are stored securely on my password secured, personal electronic devices (iMac, iPad, iPhone), which are all registered to Helen Mason’s Apple account. Session notes are password protected and stored on my One Drive, which is encrypted. All other contact details are stored on my One Drive and are password protected and encrypted.

Records of transcripts from Music and Imagery Therapy sessions are anonymised with initials and stored securely on my One Drive, which is encrypted.

Names and phone numbers of current clients are shared with my professional executor in line with good practice in the profession. This person would contact you in the event of my being unable to work and unable to contact you myself. These details are destroyed when no longer needed at the end of each month. I will use your email or phone number to contact you regarding appointments and to reply to you if you contact me.
In line with my professional requirements, I have regular supervision where session information may be shared to help support my work with you. Supervision is bound by professional confidentiality.

There are some situations where confidentiality can be broken. These situations are very uncommon, but if the situations detailed below are disclosed to me, this may result in me breaking confidentiality: immediate risk of substantial harm to self or others, or under a legal requirement. In this most unlikely event I would, wherever possible, inform you first. Other than the above situations, I will never share your data with a third party.

Security with Zoom
To further enhance security and confidentiality when using Zoom, I use a unique ID number with password embedded for each session. I also use zoom’s waiting room function for clients to enter before the session starts and I lock down the session once the client is present in the session.

Your rights
You as the client have the right to: access a copy and explanation of your personal data and/or request a correction and/or erasure in certain circumstances, request limiting or ceasing data processing where applicable and a right to compensation for substantial damage or distress caused by data processing where applicable.
How long are session notes kept? As a requirement for my professional insurance, I keep all session notes for seven years after finishing working with clients. These are then destroyed securely.

View, change or request deletion of your personal information
